How to Calculate Vacation Accrual Rates
Vacation accrual is the method by which employees build up paid time off over time. Rather than receiving all vacation hours on January 1st, employees accumulate a fraction of their vacation leave with each pay cycle. This is standard HR practice to ensure employees earn their benefits incrementally.
How Vacation Accrual Works
There are two primary ways companies calculate vacation accrual:
- Accrual by Pay Period: You earn a set amount of vacation hours per pay cycle, regardless of how many hours you work, as long as you remain employed.
- Accrual by Hours Worked: You earn vacation hours based directly on the number of hours you register on your timesheet (ideal for hourly, part-time, or contract employees).
Vacation Accrual Formula (Pay Period Basis)
To manually determine how much vacation you earn per paycheck, use this formula:
Vacation Earned per Paycheck = Total Annual Vacation Hours ÷ Total Pay Periods per Year
Step-by-Step Example:
- Determine your annual allowance. Let's say it is 12 days. In hours, that is
12 days × 8 hours/day = 96 hours. - Identify your pay frequency. If you are paid bi-weekly, you have
26 pay periodsin a standard year. - Divide the annual hours by pay periods:
96 ÷ 26 = 3.692 hoursper pay period.
How Accrual Caps Work
Many state and corporate rules enforce a maximum accrual limit (also known as an accrual cap).
