How to Calculate Vacation Accrual Rates

Vacation accrual is the method by which employees build up paid time off over time. Rather than receiving all vacation hours on January 1st, employees accumulate a fraction of their vacation leave with each pay cycle. This is standard HR practice to ensure employees earn their benefits incrementally.

How Vacation Accrual Works

There are two primary ways companies calculate vacation accrual:

  • Accrual by Pay Period: You earn a set amount of vacation hours per pay cycle, regardless of how many hours you work, as long as you remain employed.
  • Accrual by Hours Worked: You earn vacation hours based directly on the number of hours you register on your timesheet (ideal for hourly, part-time, or contract employees).

Vacation Accrual Formula (Pay Period Basis)

To manually determine how much vacation you earn per paycheck, use this formula:

Vacation Earned per Paycheck = Total Annual Vacation Hours ÷ Total Pay Periods per Year

Step-by-Step Example:

  1. Determine your annual allowance. Let's say it is 12 days. In hours, that is 12 days × 8 hours/day = 96 hours.
  2. Identify your pay frequency. If you are paid bi-weekly, you have 26 pay periods in a standard year.
  3. Divide the annual hours by pay periods: 96 ÷ 26 = 3.692 hours per pay period.

How Accrual Caps Work

Many state and corporate rules enforce a maximum accrual limit (also known as an accrual cap). If your accrued balance hits this cap, you will stop earning vacation time until you use some of your hours. Common Questions

How do you calculate vacation accrual per pay period?

To calculate your vacation accrual per paycheck, divide your total annual vacation hours by the number of pay periods in a year. For example, if you receive 10 days of vacation (80 hours) per year and are paid bi-weekly (26 pay periods), your accrual rate per paycheck is 3.08 hours (80 ÷ 26 = 3.0769). If you are paid semi-monthly (24 pay periods), the rate is 3.33 hours per period (80 ÷ 24 = 3.3333).

What is a standard vacation accrual rate for 15 days?

For a standard 15-day vacation allowance (120 hours) based on a 40-hour work week (2,080 annual hours):
Weekly pay cycle (52 periods): 2.31 hours per paycheck.
Bi-weekly pay cycle (26 periods): 4.62 hours per paycheck.
Semi-monthly pay cycle (24 periods): 5.00 hours per paycheck.
Hourly accrual rate: 0.0577 hours of vacation earned per hour worked (120 ÷ 2,080).

Does vacation time accrue while on leave or unpaid time off?

In most company policies, vacation hours only accrue during active working hours or paid leave (like using sick time or vacation itself). Vacation typically does not accrue during unpaid leaves of absence, short-term/long-term disability, or suspension.
